Official Delegations include ITF Member Countries, official guest countries, ITF guest and observer intergovernmental organisations.

All other participants with a code can register using the ‘Other Participants’ button below.

If you have not received an invitation email, submit your registration request by clicking on the ‘Request Code’ button below.

Please note that invitations are subject to consideration and approval by the ITF.

Registration fees and payment
  • Student € 50

    A reduced student fee is available to students pursuing an undergraduate or postgraduate degree in an accredited higher education institution (college or university). Please send an email to registration@itf-oecd.org to request a student login code. Student discount is valid upon presentation of a student ID card.

  • Participant (Early Bird – until Monday 14 April 23:59 CEST) € 700
  • Participant (From Tuesday 15 April until Monday 19 May 23:59 CEST) € 980
  • Participant (From Tuesday 20 May until Friday 23 May) € 1400
  • Participant (reduced fee) € 700

    Please send an email to registration@itf-oecd.org to request a reduced fee login code. A reduced registration fee is applicable to public bodies, academia, research institutes, intergovernmental or non-profit non-governmental organisations, and additional (extra-quota) registrations from the following categories: exhibitors, sponsors, side event organisers and technical tour providers.

Please note: We accept payments only by credit card or PayPal. On an exceptional basis, official delegations can request to pay Summit registration and technical tour fees by bank transfer.

Official delegations
Who can register as an official delegate?

Official Delegations include ITF Member Countries, official guest countries, ITF guest and observer intergovernmental organisations.

For ITF Member Countries, your country’s representative to the Transport Management Board is responsible for coordinating the official delegation’s registrations.

For all other guest and observer countries and organisations, the registration login details will be provided by the ITF Secretariat to your Ministry or organisation. If you do not have login details, please contact IRS@itf-oecd.org.

Please note that payment for technical tours (25 euros per tour), registration fees for accompanying persons (420 euros) or additional members of the delegation (420 euros) can be made by credit card or PayPal. On an exceptional basis, invoices can be requested at the end of your registration. Please note that your registration will only be completed once payment is received.

Other registrations
Group Registrations

A package discount is offered for groups of five or more registrations.

The total fee for a group registration must be made in a single payment; once the payment has been received, login details will be issued.

Group Registration fee: 420 euros per participant

To register a group of participants, please use the Code Request Portal.

A reduced student fee is available to students pursuing an undergraduate or postgraduate degree in an accredited higher education institution (college or university).

Upon request, registration codes will be provided by the Registration Team following verification of student IDs. 

Student Registration fee: 50 euros

To attend the Presidency Reception, the Gala Dinner and/or technical tours please indicate this during registration. For technical tours, an additional fee of 25 euros per technical tour will apply.

Spouses or partners are considered accompanying persons travelling with you. The accompanying persons are able to join their partners at networking events such as the Presidency Reception, Gala Dinner, Leipzig bicycle tour and technical tours (additional fee of 25 euros per technical tour will apply).

Accompanying persons cannot access the Summit venue during the day.

Frequently asked questions
What does my registration fee cover?

Registration to the Summit covers:

  • The three-day event, including plenary and panel sessions, official side events, exhibitions and the Open Stage Café.
  • The Presidency Reception and the Gala Dinner.
  • The bicycle tour with the Mayor of Leipzig.
  • Unlimited free public transport within Leipzig city from 20-23 May 2025.
  • Lunches and refreshments.

Yes, even if you plan to attend only parts of the Summit activities, you will need to register for the whole event.

Registrations: may be cancelled up to 9 May 2025, incurring a cancellation charge of €50.00. After that date, only 10% of the total sum can be reimbursed. Refunds will be made directly to the original payment source and will be confirmed in writing.  Registration is transferable, and changes to the named delegate(s) can be made free of charge at any time.

Technical tours: may be cancelled free of charge up to 12 May 2025 After that date no reimbursement is possible. Refunds will be made directly to the original payment source and will be confirmed in writing. Technical tour bookings are transferable, and changes to the named delegate(s) can be made free of charge at any time.

Please note that all reimbursements following cancellation will be processed within 10 working days.

Yes, you can change your information by logging in to your account. If you face any difficulties please contact the Registration Help Desk at itf-summit@eventlab.org.

Badges are available for collection at the Summit Registration Desk when you arrive at Congress Center Leipzig. Please note that a valid photo ID is required to collect your badge.

Participants will be able to request a visa letter confirming their registration in order to apply for a visa to Germany. Please ensure that you submit your request for a visa support letter through the registration portal by clicking on the relevant check box. Upon completion of registration, you will receive your visa letter in about 24 hours.
