A reduced registration fee is applicable to public bodies, academia, research institutes, intergovernmental or non-profit non-governmental organisations, and additional (extra-quota) registrations from the following categories: exhibitors, sponsors, side event organisers and technical tours providers.

Who can register as an official delegate?
Members of Official Delegations are nominated by Transport Ministries. Your country’s representative to the Transport Management Board (TMB) is responsible for coordinating the official delegation registrations.
Login details for online registration are allocated by your ministry’s official. If you do not have login details, please contact your country’s representative to the Transport Management Board (TMB).

Payment options
Please note that payment for technical tours, registration fees for accompanying persons or additional members of the delegation (420 euros) can be made by credit card or PayPal. On an exceptional basis, invoices can be requested at the end of your registration. Please note that your registration will only be completed once payment is received and an additional fee of 25 euros per technical tour will apply.
Group registrations
A package discount is offered for groups of five or more registrations.
The total fee for a group registration must be made in a single payment; once the payment has been received, login details will be issued.
To register a group of participants, please use the Code Request Portal.
Student Fee
Students are invited to attend the ITF Summit. Upon request, registration codes will be provided by the Registration Team following verification of student IDs.
To attend the Presidency Reception and/or the Gala Dinner evening, please indicate this during registration. An additional fee of 25 euros per technical tour will apply.
Accompanying Person Fee
Spouses or partners are considered accompanying persons travelling with you. The accompanying persons are able to join their partners at networking events such as the Presidency Reception, Gala Dinner, Leipzig bicycle tour and technical tours (additional fee of 25 eur per technical tour will apply).
Accompanying persons cannot access the conference centre during the day.
A person accompanying a delegate in a supporting/advisory capacity who requires access to Summit sessions and/or technical tours must complete a separate registration. Registration fees will apply accordingly.

What does my registration fee cover?
Registration to the Summit covers:
Do I need to register for the entire event if I only plan to attend for one day?
Yes, even if you plan to attend only parts of the Summit activities, you will need to register for the whole event.
What are my deadlines for cancellation?
Registration: may be cancelled up to 10 May 2024, incurring a cancellation charge of €50.00. After that date, only 10% of the total sum can be reimbursed. Refunds will be made directly to the original payment source and will be confirmed in writing. Registration is transferable, and changes to the named delegate(s) can be made free of charge at any time.
Offsite tours: may be cancelled free of charge up to 14 May 2024. After that date no reimbursement is possible. Refunds will be made directly to the original payment source and will be confirmed in writing. Offsite tour bookings are transferable, and changes to the named delegate(s) can be made free of charge at any time.
Please note that all reimbursements for the cancellation will be processed in 5-7 working days.
Who can accompany me?
Spouses and partners are considered accompanying persons, and they need to be registered for the conference to access the networking events.

Can I re-enter the online registration portal to change the details of my registration?
Yes, you can change your information by logging in to your account and if you face any difficulties please contact the Registration Help Desk at itf-summit@eventlab.org.
How do I collect my Summit participant badge?
Badges are available for collection at the Summit Registration Desk when you arrive at the Congress Center Leipzig. Please note that a valid photo ID is required to collect your badge.

Shuttle Bus Service
We will offer dedicated coaches from the official hotels to the Summit venue in the morning, and also from the Summit venues to the official hotels at the end of the programme.
Participants will be able to request a visa letter stating their registration to apply for a visa to Germany. Kindly ensure that you submit your request for a visa support letter through the registration portal by clicking on the check box. Upon completion of the registration, you will receive your visa letter in about 24 hours.
